Privacy Policy & SMS Terms

This Privacy Policy explains how Caliber Infrastructure LLC ("Caliber," "we," "us," or "our"), a Florida limited liability company, collects, uses, shares, and protects information in connection with the website caliberinfrastructure.com (the "Site") and our automation services. It applies to visitors to the Site, prospective clients, and our business clients. It is part of, and incorporated into, our Terms of Service.

1. Information we collect

Information you give us. When you book a demo, submit a form, use the chat widget on the Site, email us, or call us, we collect the information you provide: typically your name, business name, email address, phone number, and details about your practice such as approximate monthly revenue and the operational problems you want to solve.

Information collected automatically. When you visit the Site, our hosting provider and the third-party widgets embedded on it may receive standard technical data such as your IP address, browser and device type, referring page, and the pages you view. This is used to keep the Site running, secure, and measurable.

Client operational data. When you become a client, we configure systems that process your business's data: call records and transcripts, appointment and calendar data, lead and patient contact details, message logs, and the revenue events our attribution dashboard records. We process this data on your behalf to deliver the services.

We do not intentionally collect sensitive personal information through the Site, and we ask that you not send clinical or medical details through Site forms, chat, or email.

2. How we use information

We do not sell your personal information, and we do not share it with third parties for their own independent marketing.

3. SMS, calls, and messaging consent

This section covers text messaging and calls, and applies both to messages Caliber sends and to messages our systems send on a client's behalf.

Messages Caliber sends to you

If you provide your phone number (through a Site form, the chat widget, a demo booking, or by giving it to us directly), you consent to receive calls and text messages (SMS/MMS) from Caliber relating to your enquiry, your account, and your services. Consent to receive marketing text messages is not a condition of purchasing any product or service.

Mobile opt-in data is never shared or sold. Phone numbers and consent collected for SMS, and the fact of your opt-in, are not shared with, sold to, or rented to any third party for their own marketing purposes. They are used only to deliver the messages you asked for, through the messaging providers described in section 4.

Messages our systems send on a client's behalf

When Caliber operates messaging workflows for a client (for example a missed-call text-back or an appointment reminder sent to that practice's patients), the client is the sender of record. The client is responsible for obtaining and maintaining the consent required to contact those recipients and for honouring opt-outs. Caliber operates the workflows on the client's instruction and configures STOP/HELP handling in every messaging workflow we build. Recipients of those messages should direct privacy requests to the practice that contacted them; we will assist that practice in responding.

Caliber and its clients complete carrier registration (A2P 10DLC) before business messaging goes live, as carriers require.

4. Call recording and AI voice

Our AI reception system answers, transcribes, and may record inbound calls in order to book appointments and to let the practice review what happened on a call. Where recording is used, callers are notified in accordance with applicable law, and clients are responsible for the notice and consent practices at their own practice. Florida is an all-party consent state for call recording; our deployments are configured accordingly.

5. Service providers we use

We use established third-party platforms to run the Site and the services. They process information on our behalf, under their own terms and security commitments:

We may also disclose information where required by law, to enforce our agreements, to protect our rights or the safety of others, or in connection with a merger, acquisition, or sale of assets.

6. Cookies and similar technologies

The Site uses a small number of cookies and similar technologies, primarily set by the embedded chat widget so it can keep track of your conversation, and by our hosting provider for security and performance. We do not run cross-site advertising trackers on the Site at this time. If that changes, this policy will be updated first. You can block or delete cookies in your browser settings; parts of the Site, such as the chat widget, may not work correctly if you do.

7. How long we keep information

We keep enquiry and prospect information for as long as needed to follow up and for a reasonable period afterwards. Client operational data is retained for the duration of the engagement. Following termination, we will make commercially reasonable efforts to provide an export of your data on request for thirty (30) days, after which we may delete it, subject to any longer period required for legal, tax, or accounting purposes.

8. Security

We use access controls, encryption in transit, row-level isolation between client records in our dashboard, and reputable infrastructure providers to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your choices and rights

HIPAA. Caliber is not a healthcare provider and is not a HIPAA-covered entity. Where we handle protected health information on behalf of a client that is a covered entity, we do so as a service provider under the terms of that engagement, and will enter into a business associate agreement where one is required.

Children. The Site and services are intended for businesses. We do not knowingly collect personal information from anyone under 18.

10. Changes and contact

We may update this policy from time to time; the "Last updated" date above reflects the current version. Material changes will be posted on the Site.
